Dispatch Duties & Responsibilities

  • Answer and return phone calls — take messages, direct calls to the appropriate personnel, and provide clear, accurate responses to general client questions. 

  • Schedule clients — collect required trip information, input data accurately, and schedule transportation in alignment with company procedures. 

  • Inspect vehicles — ensure vehicles are ready for service, properly equipped, and meet safety and cleanliness standards. 

  • Issue driver keys and paperwork — distribute keys, trip sheets, and required documentation at the start of each shift. 

  • Intake and count inventory — maintain accurate counts of wheelchairs, gurneys, and other equipment to support daily operations. 

  • Collect paperwork and keys — ensure all trip documentation and keys are returned, reviewed, and properly filed. 

Education

  • High school diploma or equivalent required 

Experience

  • Customer service experience: 2 years required — must demonstrate strong communication skills and the ability to assist clients professionally in person and by phone 

  • Dispatch experience: 2 years required — including scheduling, routing, and coordinating transportation logistics in a fast‑paced environment 

  • Hospital/Clinic Coordination (Preferred/Highly Valuable)

    • Experience communicating with hospital staff, discharge planners, nurses, case managers, and clinic personnel

    • Ability to gather accurate trip details from medical facilities, confirm patient readiness, and coordinate stretcher or wheelchair transport

    • Familiarity with medical terminology, patient mobility levels, and facility procedures

  • Technology proficiency — comfort using computer programs, scheduling software, and multi‑line phone systems; general software knowledge is helpful 

Receptionist Skills & Competencies

  • Professionalism — Serve as the first point of contact for clients, visitors, and medical partners. Your appearance, tone, and behavior set the standard for the entire organization.

    Communication Skills — Greet clients, identify their needs, and provide clear, accurate assistance. Most communication will be verbal — both in person and over a multi‑line phone system — requiring confidence, clarity, and patience.

    Interpersonal Skills — Work closely with clients, drivers, medical staff, and internal team members. Handle stressful interactions with empathy and maintain composure even when others are having a difficult day.

    Nerves of Steel — Remain calm, focused, and decisive when emergencies or urgent situations arise. You may be the first person who must respond, gather information, and take appropriate action.

    Technology Skills — Operate a multi‑line phone system, scheduling software, dispatch tools, and basic computer programs. Maintain smooth call flow while managing incoming and outgoing communication.

    Organization — Keep yourself and the workspace organized. Support office operations by maintaining order, stocking supplies, and ensuring documents, keys, and equipment are properly managed.

    Multitasking Capability — Handle phone calls, walk‑ins, scheduling tasks, and daily responsibilities simultaneously. Maintain accuracy and professionalism without becoming overwhelmed or neglecting any client or driver.

Schedule:

  • 8-hour shift
  • Monday - Friday
COVID-19 considerations: Office sanitized daily, visitors and workers temperature taken at all times, and masks mandatory as required.
